How to plan procurement with a 40–60-day delivery time

Plan backwards from the consumption date

Start with the period when the ingredient must reach production and its forecast consumption. Allow for available raw material stocks, brand approval, order fulfilment and batch acceptance.

For GEO FOOD TRADE, 40–60 days is an indicative delivery timeframe. The actual lead time and the event from which it is measured are confirmed for each order. Time for selection and trials needs to be discussed separately.

Build a procurement plan

  • Currently available raw materials and expected consumption.
  • The date by which the new batch must pass acceptance checks.
  • Volume, pack size and permitted split deliveries.
  • Time for specification approval and technical trials.
  • Advance payment and the schedule of subsequent payments.
  • A contingency plan for changes in consumption or timing.

Record milestones

Once the order is agreed, it helps to monitor manufacturer confirmation, batch readiness, documentation, dispatch, transit and arrival. For each stage, define the information that confirms its completion.

If a schedule change affects the production plan, review requirements and stock levels. International delivery becomes a manageable part of procurement when decisions are made before stock runs out.

Make use of recurring demand

For regular consumption, subsequent shipments can be agreed in advance, based on actual use and experience from the previous delivery. Volume and frequency should match your requirements and the product's shelf life.

Specify the individual shipment and planned frequency in your enquiry. This helps develop a quotation that fits your procurement cycle.
